1. What this policy covers This policy explains how we handle your personal data when we

send you an invitation to the Applied AI Summit 2026. This is a one-off, non-core activity

for UtterBerry Ltd. We only process the minimum data needed.

2. What personal data do we collect and where from? We collect: your name, corporate

email address, job title and company name. These details are obtained only from publicly

available sources and licensed B2B tools (such as Apollo) that warrant the data was lawfully

collected.

3. Why do we process your data and what is our lawful basis? We process your data on

the basis of our legitimate interests (UK GDPR Article 6(1)(f)) to invite you, in your

professional capacity, to the Applied AI Summit 2026. We have completed a Legitimate

Interests Assessment (LIA) which is available on request. A copy is also held in our central

LIA Register.

4. What do we do with your data?

  • Send you one or more professional invitation emails about the summit.

  • Maintain a suppression list so you are not contacted again if you object.

  • We do not sell, rent or share your data with any third parties.

  • We do not use your data for any other purpose or for profiling.

5. How long do we keep your data? We will keep your data only for as long as it is

needed for this one-off campaign:

  • Until the Applied AI Summit 2026 has taken place, plus a maximum of 30 days for

    final audit, suppression-list updates and records of processing activities (Art 30 UK

    GDPR).

  • After that we will permanently delete your personal data.

  • If you object at any time we will delete your data immediately and add you to our

  • permanent suppression list.

6. Your rights You have the absolute right to object to this direct marketing at any time (UK

GDPR Article 21(3)). Simply click Unsubscribe in any email or contact privacy@applied-ai-

summit.com. We will action your request promptly (usually within 24 hours) with permanent

suppression. You also have the right to: access, rectification, erasure, restriction and to

complain to the ICO (ico.org.uk). Full details are in the LIA.

7. Security We protect your data using industry-standard security measures and require the

same from any email platform we use (Art 28 UK GDPR Data Processing Agreement in

place).

8. Changes to this policy Because this is a one-off campaign, this policy will be retired

once the summit has concluded and all data has been deleted.
